We provide our customers with cloud-based hotel and restaurant management software. In connection with the use of the software, we process personal data of our customers, their contacts, and users, including, in particular, names, business contact information, login credentials, role and authorization information, contract and billing data, communication data, support requests, as well as technical log and usage data.

This processing is carried out for the purposes of providing, securing, maintaining, and further developing the software; fulfilling contractual obligations; providing customer support; billing; analyzing errors; and ensuring IT security. The legal bases, insofar as we ourselves are the data controller, are Article 6(1)(b) of the GDPR, Article 6(1)(c) of the GDPR, and Article 6(1)(f) of the GDPR. Processing of Guest and Reservation Data on Behalf of Our Customers

Our customers may process personal data of their guests, reservation holders, traveling companions, business partners, and other data subjects in the Casona software. This may include, in particular, master and contact data, reservation data, stay data, communication data, billing and payment information, notes, and preferences, as well as—to the extent used by the respective customer and required by law—registration data or other information necessary for hotel operations.

To the extent that such data is processed by our clients in the Casona software, we generally act as a data processor within the meaning of Article 28 of the GDPR. The controller for this processing is the respective client, specifically the respective hotel or restaurant business. We process this data only in accordance with documented instructions from the respective customer and on the basis of a data processing agreement. We do not process this data for our own purposes, unless we are exceptionally required to do so by law.

Processing on behalf of our clients includes, in particular, the provision, storage, backup, maintenance, support, and technical operation of the software; error analysis; data backup; and assisting our clients in using the software.

Data subject rights regarding guest and reservation data must generally be exercised with the respective hotel or restaurant. If we receive such requests, we will forward them—to the extent they can be assigned—to the respective client or assist the client in accordance with the data processing agreement.

We engage carefully selected service providers and subprocessors to provide, maintain, back up, and support our software, particularly in the areas of hosting, data centers, IT security, maintenance, support, communication, and payment processing.

We provide our customers with a current overview of the subprocessors we use as part of the Data Processing Agreement. We inform our customers of any intended changes regarding the engagement or replacement of subprocessors in accordance with the Data Processing Agreement.

The storage and deletion of guest and reservation data are generally governed by the instructions and settings of the respective customer, as well as the contractual provisions regarding data processing. Upon termination of the contractual relationship, personal data will be deleted or returned at the customer’s discretion, provided there is no legal obligation to continue storing it.
